Agenda - Notes in Blue, Action Items in Red (and repeated below)

 

  1. Welcome Jessie and Martha to the group, introductions: Present were Ann, Jessie, Martha, Val, Jane, and Kate, and Emily joined us later on
  2. Demonstration of new workflow: Suggestions for improvement: remove the Subject field from the submission form since we're likely to need to edit this field pretty heavily; change the layout of the editing pane. Ann will ask Kelli about these improvements.
    1. Are we okay with users having to register to submit form? Given the Web Team's concerns it is a good idea. We will plan the roll-out of the new submission form with announcements to alert users to the change.
  3. Plan for testing new workflow: Everyone will test out 3-4 citation forms, filling out the submit form, and seeing what it's like to edit
    1. How to assign citations? Put names next to citation forms on the New Proposals page; Ann will email when this is done
    2. Timeframe: 1 week
  4. Discuss any remaining business from Midwinter
    1. Group structure/administration: Editor is a member of BSC but members need not be. At this time we do not have formal term lengths or limits for members, but this could be implemented as needed/wanted
      1. Editor's term: Editor will have a term limit of 2 years. Ann will rotate off June 30, 2019. Ann is working on an Administration page that documents the group structure, current and past members etc.
      2. Names on website? Yes. Ann will add
    2. Search boxes: Multiple search boxes are not possible at this time with the current version of WordPress; Kelli will continue to investigate as new options become available.
    3. RISM: Time to make changes. Music community will use RISM no matter what we say. Compromise forms include both RISM and the title spelled out in full. Jane will email MLA members in case of objection before making the change.
  5. EDIT 16: Kate brought up an issue with EDIT 16 that had been brought to her attention. The print version used to be cited as EDIT 16, but is now cited as Edizioni italiane del XVI secolo and Edizioni italiane del XVI secolo (2nd ed.). The online version is now cited as EDIT 16. This could cause confusion if you don't know if you're looking at the old citation or the new citation. However, all citation numbers from the online version include "CNCE" at the beginning (i.e. 510 $c), so you would know. But it will cause problems if anyone tries to convert old citations to new citations; you would have to be careful about which EDIT 16's in your catalog needed to be converted and which didn't. We could add the qualifier (online) to the current citation, but are reluctant since this has been widely used already in many catalogs without the qualifier. Kate will follow up with the person who brought this to her attention to ask if a note in the conversion spreadsheet with instructions for these citations would alleviate their concerns.

 

Action Items

 

Ann:

  • Email SCF with test assignments
  • Confirm with BSC that requiring users to register is acceptable; where should announcement be made besides DCRM-L?
  • Ask Kelli about removing the Subject field from the submission form
  • Ask Kelli about whether it would be possible to combine the form generated fields with the custom fields so that there is one set of fields for us to edit in WordPress
  • When testing is complete and the form works the way we want, announce to DCRM-L the new form and roll-out date.
  • Finish editing Administration page documenting group structure, duties, and roster
  • Add current members to SCF homepage

 

Jane:

  • Email MLA members re. our proposed new citation forms for RISM
  • If no objections or no response, make the changes in SCF

 

Kate:

  • Will follow up regarding EDIT 16. STATUS: Kate emailed the proposer 3/9/18 re: is a note in the conversion spreadsheet enough? Waiting to hear back.
  • If acceptable, will add a note to the conversion spreadsheet with instructions

 

Everyone:

  • Test out the new submission form with your assigned citation forms
  • Email the group with any concerns or suggestions by Wed. 3/14
