Working Principles Part 1

Scope

 

This database includes bibliographies and catalogs (printed or electronic) that are useful in verifying, identifying, or describing items held in rare book or special collections libraries and that have been or are likely to be cited in bibliographic records, trade catalog descriptions, and bibliographies. 

 

Maintenance

 

This resource is maintained by the Standard Citation Forms Editorial Team, appointed by the RBMS Bibliographic Standards Committee.

 

A. For sources not in this database, apply the working principles to create a citation form. Catalogers are urged to propose the addition of a new bibliography to the database if the citation is likely to be used by other libraries in bibliographic records. When the editors add a bibliography or catalog to Standard Citation Forms, they will assign a citation form as described in this document. Propose additional sources via the online form provided here. To be considered, such a request must include:

 

   1)  a full bibliographic description, including an OCLC record number;

   2)  a suggested citation form, devised according to the rules provided in the working principles; and,

   3)  an indication that the bibliography or catalog has been, or will be, cited in a Citation/References note (510) field in a catalog record by the requesting library. If feasible, include the OCLC record numbers for records in which the bibliography has been cited.

 

B.   The editors may also add a bibliography or catalog to Standard Citation Forms in advance of any formal request if, in their judgment, it is likely to be cited in a bibliographic record.

 

C.   In general, only the most recent edition of a bibliography that has appeared in more than one edition will be added to Standard Citation Forms, unless:

 

   1)   the new edition is a multi-volume work that is not yet complete;

   2)   the new edition does not follow the same numbering scheme as the previous edition;

   3)   the new edition omits valid information present only in the earlier edition.

 

In any of the above cases, earlier editions will be added to Standard Citation Forms as long as they are useful.

 

D.  The editors will issue updates to Standard Citation Forms on an ongoing basis.

 

The Bibliographic Entry

 

A.  Construction of the basic entry

The bibliographic entry is based on information in the bibliographic record cited.  While this has resulted in some inconsistencies in the use of abbreviations among entries, this practice aligns with the principle of basing the citation form on the bibliographic record. 

 

Bibliographic entries in non-Roman scripts are romanized according to the ALA-LC Romanization Tables. 

 

Bibliographic entries in the examples below exclude physical description and notes.

 

B. Forms of names

The bibliographic entry uses the entire heading as established by the Library of Congress (with full forenames, etc.), omitting only nonessential information such as birth dates and parenthetical information. Directions for formulating names in the citation are in Constructing the Citation sections A and B.

 

C.  Supplements

In keeping with the principle to align the citation form with the bibliographic record, supplements and continuations are entered as separate works, not as subordinate entries under the main work.

 

D.  Reprints

Reprint information has been recorded when readily available; no special research was undertaken to identify all reprints. Note that in cases where a reprint contains additions, corrections, or supplements to the original, the reprint is considered a different edition and a separate entry is made.  However, no special attempt has been made in general to note the presence or absence of additional material in reprints.  

 

Construction of the Citation Form

 

Base the citation form on the bibliographic record. This serves to direct the user to the record for the work cited in the library's catalog.

 

 

A.  Works Entered Under a Personal Name

If a work is entered under a personal name, generally construct the citation according to the following pattern:

 

     Surname, Forename Initial(s). Title proper (excluding initial articles, part titles, alternative titles, and parallel titles)

 

Do not leave any spaces between forename initials.

 

In the citation form, use forename initials corresponding to the forenames in the Library of Congress Name Authority File.  

 

In formulating the title portion, use the title proper; however, do not include initial articles, part titles, alternative titles, parallel titles, or any information preceding the title. Do not make other omissions from the title proper.

     Corporate Body. Title proper (excluding initial articles, part titles, alternative titles, and parallel titles)

 

In the citation form, use the name of the corporate body as it appears in the Library of Congress Name Authority File. If the corporate name is hierarchical, use the main element. Include the subordinate body only if needed for accurate retrieval.
